HR & Administration Manager (JLPT)

Qualification
  • Age: 46 – 48 years old, Female or Male (prefer Female) 
  • Education: Bachelor’s degree or higher in related field
  • Work Experience: Over 15 years in HR & Admin, minimum 12 years in management level.
  • Language: Good command in both English & Japanese
  • 1. English with TOEIC 680 up (Not necessary) 
  • 2. Japanese with at least N2 level
  • Typing: Standard level
  • Computer skill: Microsoft Office (word/excel, Outlook, Power point, payroll program, etc.)
  • Others: Having HR mindset and having the spirit of HR.
  • Manner: On time, no late, leadership & management skill, much responsible of work, teamwork, able to work hard
  • and under pressure, etc.

Responsibilities
  1. Manage employment regulations and employee welfare and benefits.
  2. Oversee the recruitment and hiring process for new staff, including yearly contract and temporary staff.
  3. Manage payroll processes, including monthly salary payments.
  4. Oversee compensation and benefits for all staff.
  5. Manage performance evaluation criteria, including bonus and annual salary increments.
  6. Handle provident fund administration and coordinate with TISCO Asset Management (Fund Manager).
  7. Support visa and work permit applications for expatriate staff.
  8. Prepare and submit reports to the Social Security Office, Revenue Department, and Labor Protection Office.
  9. Maintain monthly reports on manpower, staff leave records, OT reports, and organizational chart updates.
  10. Analyze staff competencies and support training and development initiatives.
  11. Maintain employee relations (e.g., company activities, New Year party, CSR events).
  12. Prepare and support monthly, quarterly, and annual reports for Head Office.
  13. Support internal and external (EY) audit processes and prepare required documentation.
  14. Support Annual General Shareholders’ Meeting and weekly management meetings, including preparing minutes.
  15. Manage and coordinate outsourced staff (e.g., drivers, external service providers).
  16. Monitor petty cash expenses, oversee donations (if any), and manage disposal of office equipment (excluding IT equipment).
  17. Ensure compliance with company policies, HR/Admin procedures, and internal regulations.
  18. Act as compliance liaison for J-SOX audits, including BCP and personal data protection.
  19. Manage company seal and oversee contract renewals and documentation filing.
  20. Support self-inspections (Self Audit) and business audits from SWS Head Office.
  21. Support SWS-HQ policies and activities (e.g., SWS WAY).
  22. Establish and manage Welfare Committee and Safety Committee operations.
  23. Perform other duties as assigned by management.
Working Hour / Benefits

Welfare & Benefits (after pass 90 days probation)

1. Diligent: 500.-/month (if no late, no leave, no absence)
2. Group insurance: for IPD, accident
3. Medical fee: 30,000.-/year
4. Dental fee: 5,000.-/year
5. Spa or fitness or family medical: 6,000.-/year
6. Provident fund:: 5%, 10% , 15% from basic salary (*Company contributed only 5%)
7.6 days annual leave for first 3 years, from year 4th will be 1 day additional (Maximum not over 12 days annual leave)

9.Company trip (depends on Influenza & other disease crisis/climate situation & company’s business situation).
